Last updated: 21 September 2026
1. About this Privacy Policy
Write Business Results Limited ("Write Business Results", "WBR", "we", "us" or "our") respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how and why we collect, use, store, share and otherwise process personal information when you:
- visit writebusinessresults.com or another WBR webpage that links to this Privacy Policy;
- enquire about, purchase or use our services;
- work with us as a client, author or business contact;
- attend one of our consultations, meetings, webinars, events or other sessions;
- subscribe to or interact with our marketing;
- communicate or otherwise engage with us; or
- interact with us in another business or professional context.
Write Business Results Limited is the controller responsible for the personal information described in this Privacy Policy unless we tell you otherwise.
If you have questions about this Privacy Policy or how we handle your personal information, contact us at:
Email: info@writebusinessresults.com
Website: writebusinessresults.com
This Privacy Policy is primarily written to explain our obligations under UK data protection law, including the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018. Other mandatory privacy rights may apply depending on where you are located.
2. What personal information do we collect?
The personal information we collect depends on how you interact with WBR and the services you use.
It may include:
Identity and contact information
This may include your name, title, job title, business or company name, email address, telephone or mobile number, postal or billing address and other contact details you provide to us.
Client and project information
If you enquire about or engage WBR's services, we may process information relating to your project, business, professional background, objectives, expertise, audience, intellectual property and the services we provide to you.
For authors and publishing clients, this may include manuscripts, book briefs, questionnaires, interview or consultation material, research, notes, recordings, transcripts, drafts, editorial feedback, design materials, publishing information, marketing materials and other content supplied or created in connection with your project.
Communications
We may retain emails, messages, enquiries, forms, correspondence, meeting notes, feedback and other communications between you and WBR.
Recordings and transcripts
Our work frequently involves consultations, interviews, meetings, workshops, webinars and similar sessions.
These sessions may be recorded and/or transcribed for purposes including service delivery, content development, record keeping, quality assurance, training, project continuity and follow-up.
We may use recording, transcription and technology-assisted services to support these activities. Where appropriate, participants will be informed that a session is being recorded or transcribed.
Our webinars may also be recorded for subsequent viewing, training, educational or marketing purposes. Where recordings are intended to identify or feature individual participants publicly, we will take appropriate steps in relation to permissions and notice.
Financial and transaction information
We may process billing details, transaction records, payment status, invoicing information, billing addresses and information necessary to administer payments and our commercial relationship with you.
Payments may be processed through payment processors, accounting platforms, banks or other payment services. WBR does not ordinarily need to retain complete payment-card credentials where these are handled directly by the relevant payment provider.
Marketing and preference information
This may include your marketing preferences, interests, responses to marketing, event registrations, downloads, enquiries, interactions with our communications and information about how you would prefer us to contact you.
Website and technical information
When you use our website or digital services, we may collect technical and usage information such as your IP address, device and browser information, approximate location derived from technical information, website activity, referral information, cookie identifiers and information about how you interact with our website and communications.
Further information about cookies is provided below.
Information from third-party and public sources
We do not obtain all personal information directly from the individual concerned.
Where appropriate and lawful, we may receive or identify professional or business information through:
- referrals and introductions;
- business partners and professional contacts;
- events, webinars and networking activities;
- professional and social networking platforms;
- publicly available business and professional sources;
- organisations with which you have interacted;
- service providers supporting our business; and
- legitimate business-development and outreach activities.
Where we obtain personal information from another source, we use it only where we have an appropriate lawful basis and subject to applicable marketing and privacy rules.
3. Sensitive and special-category information
WBR does not ordinarily seek sensitive personal information about individuals for general marketing or routine business administration.
However, the nature of professional book creation, publishing and editorial work means that clients may voluntarily provide highly personal information as part of their manuscript, interviews, consultations, recordings, transcripts, questionnaires or other project materials.
Depending on the subject of a client's work, this can include information concerning health, racial or ethnic origin, religious or philosophical beliefs, political opinions, sexual orientation, sex life, trade union membership, or other information afforded additional protection by law.
Client material may also contain information about difficult personal experiences, relationships, trauma, abuse, financial circumstances or other private matters, whether or not that information falls within a statutory special category.
We treat such information with particular care and confidentiality.
Where we process special-category personal information, we do so only where we have both an appropriate lawful basis under data protection law and an applicable additional condition for processing that information.
Where sensitive information concerns another identifiable person rather than the client, clients should consider carefully whether it is necessary and appropriate to provide that information to us and whether they are entitled to do so.
4. How do we use your personal information?
We may use personal information to:
- respond to enquiries and communicate with you;
- assess whether and how we can provide services to you;
- prepare proposals, contracts and project documentation;
- enter into and administer our contractual relationship with you;
- provide consulting, editorial, writing support, publishing, design, production, marketing and related services;
- conduct meetings, interviews, consultations, webinars and events;
- create and manage recordings and transcripts;
- manage projects, deadlines, deliverables and client communications;
- understand your objectives, preferences, audience and project requirements;
- process invoices, payments and financial records;
- maintain appropriate business and accounting records;
- improve our services, processes, systems and client experience;
- conduct internal analysis, diagnostics, quality assurance and operational management;
- protect our business, systems, clients and intellectual property;
- prevent and investigate fraud, misuse, security incidents or other unlawful activity;
- establish, exercise or defend legal claims;
- comply with legal, regulatory, tax, accounting and other obligations;
- send relevant marketing and business communications where permitted by law;
- manage marketing preferences and suppression records;
- conduct legitimate business development and professional outreach;
- administer our website and understand how it is used; and
- operate, develop and improve WBR.
We will not use personal information for a materially incompatible new purpose without considering whether a further lawful basis, notice or consent is required.
5. Our lawful bases for processing
Under UK data protection law, we must have a lawful basis for processing personal information.
Depending on the circumstances, we may rely on:
Contract
We process information where necessary to enter into or perform a contract with you, including providing services you have purchased and administering our client relationship.
Legitimate interests
We may process information where necessary for our legitimate business interests or those of a third party, provided those interests are not overridden by your rights and interests.
These interests may include:
- operating and improving WBR;
- providing effective client service;
- managing projects and professional relationships;
- maintaining appropriate business records;
- protecting our business and systems;
- understanding and developing our market;
- quality assurance;
- appropriate business-to-business development and outreach; and
- communicating about relevant WBR services.
Where we rely on legitimate interests, we consider the nature and impact of the processing and the rights of the individuals concerned.
Consent
Where the law requires consent, we will ask for it. You may withdraw your consent at any time, although this will not affect processing already carried out lawfully before withdrawal.
Legal obligation
We may process information where necessary to comply with a legal or regulatory obligation.
Other lawful grounds
In limited circumstances, another lawful basis permitted by applicable data protection law may apply.
Where special-category information is processed, we will also rely on an applicable condition permitted by Article 9 of the UK GDPR and, where required, the Data Protection Act 2018.
6. AI, automation and technology-assisted processing
WBR is a human-led professional services business. We may use artificial intelligence, automation, analytical systems, diagnostic tools and other technology-assisted processes as supportive tools within controlled professional workflows.
These technologies may assist with activities such as:
- transcription and transcript processing;
- structural organisation;
- analytical and diagnostic work;
- research and market analysis;
- quality-control and consistency support;
- design briefing and concept development;
- workflow and project support;
- communications support; and
- internal operational efficiency.
Where personal or client information is processed through technology-assisted systems, WBR takes reasonable steps to use approved systems and workflows appropriate to the information concerned and to restrict access to authorised personnel, contractors and service providers who have a legitimate need for access.
We do not knowingly submit confidential client information to unsecured or unauthorised public-facing AI tools contrary to our internal controls.
AI and technology-assisted outputs used within our services remain subject to appropriate human direction, review and professional judgement. Unless expressly agreed otherwise in writing, WBR does not use purely AI-generated content as authored core book content in a client's name.
Clients who wish to request AI-restricted or human-only content-delivery workflows should discuss this with WBR. Such arrangements are subject to WBR's written agreement and may involve a different delivery model, fees, timescales, scope or client-input requirements. An agreed restriction on AI within content-delivery workflows does not necessarily restrict ordinary business systems, administration, communications, quality control or professional software containing embedded technology-assisted functions.
Where a client's project is being delivered in conjunction with a traditional publisher or another relevant third party and WBR is made aware of applicable AI requirements, we will take those requirements into account in our delivery.
Further contractual provisions concerning WBR's use of AI and technology may apply to clients under their agreement with us.
7. Marketing and business communications
We may use your contact information to communicate with you about WBR, our services, resources, webinars, events and other information we believe may be relevant to you where permitted by law.
Depending on the circumstances, this may be based on consent, legitimate interests or another lawful basis.
For electronic marketing to individuals, we will obtain consent where required or rely on an applicable exception, such as the UK's existing-customer "soft opt-in", where its legal requirements are met.
We may also undertake proportionate business-to-business outreach using professional contact information where permitted by applicable law.
You can ask us to stop sending direct marketing at any time by:
- using the unsubscribe facility provided in relevant marketing communications; or
- contacting info@writebusinessresults.com.
If you opt out, we may retain limited information on a suppression list so that we can respect your preference in future.
Opting out of marketing does not prevent us from sending necessary service, project, contractual, transactional or administrative communications.
8. When and with whom do we share personal information?
We do not sell personal information.
We may share personal information where reasonably necessary with carefully selected third parties that support the operation of WBR or the delivery of our services.
These may include:
- technology, hosting, cloud-storage and IT providers;
- customer relationship management and communications providers;
- email, calendar, meeting, recording and transcription providers;
- approved AI, analytical and technology-assisted service providers;
- payment processors, banks, accounting and financial service providers;
- professional editors, proofreaders, designers, publishing specialists, consultants and contractors involved in service delivery;
- website, analytics, advertising and marketing service providers;
- professional advisers, including accountants, insurers and legal advisers;
- publishing, distribution or platform providers where relevant to a client's project; and
- regulators, courts, government bodies, law-enforcement authorities or other parties where disclosure is required or permitted by law.
Our suppliers and contractors are expected to handle personal information appropriately and, where they process personal information on our behalf, to do so subject to appropriate contractual and confidentiality obligations.
Business transfers
If WBR is involved in a merger, acquisition, restructuring, financing, sale of business or assets, or similar transaction, relevant personal information may be disclosed to appropriate parties as part of that process, subject to appropriate safeguards.
Affiliates and business partners
We may share information with an affiliate or business partner where this is necessary for a legitimate business purpose, service delivery or a relationship involving you, and where there is an appropriate lawful basis for doing so.
9. International transfers
WBR is based in the United Kingdom, but some of our service providers, contractors, technology infrastructure or business partners may process information in other countries.
Where personal information is transferred outside the United Kingdom and the transfer is subject to UK international-transfer restrictions, we take appropriate steps to ensure that the transfer is lawful.
Depending on the circumstances, this may include reliance on:
- UK adequacy regulations;
- an approved contractual transfer mechanism, such as the UK International Data Transfer Agreement or an applicable UK Addendum;
- another safeguard permitted under UK data protection law; or
- an applicable legal exception.
We may also carry out or rely on appropriate transfer assessments where required.
10. Cookies and tracking technologies
Our website may use cookies and similar technologies to operate correctly, remember preferences, understand website use, measure performance and, where applicable, support marketing and advertising.
Some cookies are strictly necessary for the website to function and do not require consent. Where consent is legally required for non-essential cookies or similar technologies, we will seek it through the relevant cookie controls before using them.
You can manage your preferences through the cookie controls made available on our website and, in many cases, through your browser settings.
Our cookie practices and website configuration may change as the website and services evolve.
11. How long do we keep personal information?
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to satisfy legal, accounting, tax, contractual, professional, evidential and reporting requirements.
Retention periods vary according to the nature of the information and our relationship with you.
When determining an appropriate retention period, we consider factors including:
- the nature, amount and sensitivity of the information;
- why we hold it;
- the duration and nature of our relationship with you;
- whether the information forms part of a client project or publishing record;
- legal, tax, accounting and contractual requirements;
- limitation periods and the potential need to establish or defend legal claims;
- security considerations; and
- whether continued retention remains necessary and proportionate.
Where information is no longer required, we will delete, anonymise or securely dispose of it where reasonably practicable and appropriate.
Backups and archival systems may retain information for a limited additional period before it is overwritten or securely removed.
12. How do we protect your information?
We use appropriate technical and organisational measures designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, access or misuse.
Our measures may include access controls, authentication, appropriate contractual safeguards, controlled systems and workflows, staff and contractor confidentiality requirements, security practices and restrictions on who can access information.
Access to client and personal information is limited to people and service providers who reasonably require it for legitimate business or service-delivery purposes.
No method of electronic transmission or storage can be guaranteed to be completely secure. We therefore cannot promise absolute security, but we take reasonable and proportionate measures to protect information entrusted to us.
13. Information about other people
Clients and other contacts sometimes provide WBR with personal information about other people, particularly in manuscripts, case studies, testimonials, interviews, stories, research and project materials.
If you provide personal information about another person, you are responsible for ensuring that you are entitled to provide it to us and that its use in connection with the project is lawful and appropriate.
This is particularly important where the information is private, sensitive, potentially defamatory, concerns children, or relates to health, trauma, relationships, allegations or other highly personal matters.
WBR may raise questions or recommend changes where information concerning third parties presents an apparent privacy, legal, editorial, ethical or reputational concern.
14. Children's information
WBR's website and commercial services are not directed at children, and we do not knowingly collect personal information directly from children for general marketing purposes.
However, client manuscripts and other project materials may contain information about children where this is relevant to the client's work.
Where such information is processed as part of a client project, we expect clients to consider carefully whether its inclusion is lawful, necessary and appropriate. WBR may recommend that identifying details are removed, changed or otherwise protected where appropriate.
If you believe a child has provided personal information directly to us in circumstances where they should not have done so, please contact info@writebusinessresults.com.
15. Automated decision-making
WBR may use analytical, diagnostic and technology-assisted tools to support professional judgement, workflow and service delivery.
We do not ordinarily make decisions producing legal or similarly significant effects on individuals solely through automated processing without meaningful human involvement.
If this changes in circumstances where data protection law requires additional information or safeguards, we will provide the appropriate information and comply with the applicable requirements.
16. Your data protection rights
Depending on the circumstances and applicable law, you may have rights concerning your personal information, including the right to:
- request access to personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase personal information in certain circumstances;
- ask us to restrict processing in certain circumstances;
- object to certain processing, including direct marketing and, in some circumstances, processing based on legitimate interests;
- request the transfer of certain information to you or another organisation where the right to data portability applies;
- withdraw consent where our processing relies on consent; and
- raise concerns about how we process your information.
These rights are not absolute and may be subject to legal conditions and exemptions.
To exercise a privacy right, contact:
info@writebusinessresults.com
We may need to verify your identity before acting on a request. We will not ordinarily charge a fee for exercising your data protection rights, although the law permits fees or refusal in certain limited circumstances.
17. Complaints
If you have a concern about our use of your personal information, we would appreciate the opportunity to address it. Please contact us at info@writebusinessresults.com.
You also have the right to complain to the UK supervisory authority:
Information Commissioner's Office (ICO)
Website: ico.org.uk
If you are located outside the United Kingdom, you may also have rights to contact a relevant data protection or privacy authority in your jurisdiction where applicable.
18. Third-party websites and services
Our website, emails or services may contain links to websites, platforms or services operated by third parties.
We are not responsible for the privacy practices of independent third parties. Their collection and use of personal information will be governed by their own privacy information and terms.
We recommend reviewing the privacy information of any third-party service you choose to use.
19. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, business practices, technology, legal obligations or regulatory guidance.
The current version will be published on our website with an updated revision date.
Where a change materially affects how we process personal information and additional notice is appropriate or legally required, we will take reasonable steps to provide that notice.
